Artistic activity is one form of publication. So-called art publications (or public outputs of artistic activities, as the ministry them defines) are included into UniartsCRIS as F publications.
Start saving an artistic publication by either tapping the front page link "Submit a new publication" or by clicking the "Publications" button on the left side of the page, and then "Add" button in the upper right corner. As a rule, art publications do not have a DOI identifier, so click the box "Publication doesn't have DOI " and then the box "Submit a new publication". At this stage, you can still check if your work is already in the system. Enter a title in the field, the system will list already saved publications or works below.
First, choose from Defitnion field "Art publication", and then select the "Type of artistic activity" from the list.
There are three artistic types:
F1 Published independent work of art or performance is a work which usually has one author. These include, for example, compositions, solo exhibitions, performances. Ministry defines it as "an independent art publication that is not part of another work of art or does not contain elements that can be considered independent artistic publications."
F2 Partial implementation of a work of art or performance means a work made in a group with several artists. These include, for example, the choreography of a dance piece, the cinematography of a film, a musician in a concert. This also includes work related to the compilation of the publication, such as directing the stage production. Ministry of Education and Culture defines this type as follows:
"An art publication can have a close, inseparable relationship with a co-publication, but it can still be valued as a separate work as per field-specific practice (for example, the staging of a play, a painting in a co-exhibition, a chamber mucisian's part in a concert, an actor's performance).
- The compilation work for a publication is also entered under this category, i.e. the selection of parts, defining general artistic policies and working on the partial publications with the authors to make them fit within the publication (for example, directing a dramatic work, artistic directing/production of concerts)."
F3 Artistic part of a non-artistic publication means a work where the context is not primarily artistic, but whose artistic part is valued in the art community. These include, for example, the plans of an architect or designer.
After you have made these choises the type appears automatically to the field "Minedu publication type".
Next write your name to two fields, "Authors" and "First author". In the latter, your unit appears automatically.
Then write the name of the publication as it appears in the original work. Do not add extra information to this field, such as the venue, etc. - these have their own fields below. Also, add the year of publication.
Next, fill in the fields related to the work or art. Mandatory fields are marked with an asterisk. Choose "Art field", "Field of art type" and "Role" from the drop-down menu and write the "Place of publication". If the work is related to research, tap Yes. A field appears where you can enter more information about the research connection.
In the "Event" field, enter the name of the event, the starting and ending dates, possibly information about the number of audience (if known) and the venue. The audience field can also be filled in afterwards.
NB. As a rule, works of art are reported to the research information system only once. If the work contains multiple performances or events, please report them by tapping the Add New button.
Next, add "Country of publication", "Internationality" and "Link to online publication". Please make sure that you copy the Internet address to this last field. It is needed in the internal checking process.
In "Classifications" please choose field of science classification from the drop down menu. You can find the relevant disciplines at Uniarts (6131, 6132) by entering the number 613 in the search box. Add keywords as well. You can also write more information about the work in the "Additional information field".
In addition, you can indicate funding information, information on research data, or the infrastructures, if necessary. This information is not mandatory.
You can ignore the section "Self archiving", it does not apply to art publications.
In the comments field, you can send additional information to librarians. Please note that F-publications are checked. The text is only visible to librarians and those doing the check.
Finally, press "Preview" to check the information and "Save" it. If any of the required information is missing, saving will not work. Fill in the missing information if needed.
Artistic activities form part of the statutory duties of Uniarts Helsinki. The artistic activity of the staff demonstrates societal impact of activities, and it develops and maintains teachers' expertise and networks.
You may report artistic activities that are related to your employment description. In other words, artistic activity is part of your work plan or has been agreed with the supervisor, for example, in the annual development discussions. Also, in your total working time plan (KTA) an agreed number of hours is allocated to artistic activity, such as performances, works, exhibitions. However, this does not mean that all artistic works should be realized entirely during working hours.
Assess whether the forum for artistic activity is such that the university benefits from its reporting, or whether the university has facilitated it by providing, for instance, rehearsal time, performance spaces or tools.
It is important to note that the work must be exposed in public for a certain period and that someone else (such as a curator, producer, independent jury or a publisher) than the artist has decided - based on artistic criteria - to exhibit or otherwise publish the output. It is equally central to reports activities those If you are involved in the public performances and events organized by the Uniarts. However, the practice times and preparations are not part of reporting. If it turns out to be difficult to define the publicity of the output by using the above criteria, the output should in any case meet the requirements for a work, as defined in the law of copyright.
If you have several consecutive performances with the same content, report the work only once. These include, for example, concerts with the same program in several venues or performances of an audiovisual work in different festivals. You can add the subsequent performances in the Event field of artistic publications.
When reporting, please note that the information on artistic activity will be eventually made public in the UniartsCRIS system as well as in the national Research.fi portal.
